These are the rules Field follows when it uses Prova’s AI systems.
They apply whenever client materials are read, organized, or analyzed with the systems.
The rules are set before files move.
- Field and the client agree on the question the work will address.
- The client decides which files may be used.
- Sensitive or unnecessary material is excluded where possible.
- Access, permitted AI use, disclosure, retention, and deletion are agreed before files are transferred.
AI has a limited role.
AI may
- Read and organize large sets of documents.
- Extract claims, measures, observations, and recurring themes.
- Compare information across files and relevant studies.
- Draft summaries and analysis for professional review.
- Connect important statements to the source material behind them.
AI may not
- Choose the question or scope of the engagement.
- Decide whether a conclusion is warranted.
- Approve anything that a client will receive.
- Share client files or findings.
- Enter or navigate a client’s systems on its own.
A Field principal is responsible for the work.
- Check important statements against their sources.
- Look for missing context, contradictions, and unsupported claims.
- Distinguish what the material supports from what it only suggests.
- State uncertainty and limitations in the final work.
- Take responsibility for every client-facing conclusion.
Clients control their materials.
- The organization that provides the materials remains in control of them.
- A funder, board, partner, or other outside party receives files or findings only when the client authorizes it.
- Client materials are not used to train Prova’s AI systems or made available to train another organization’s general-purpose model.
- Access is limited to the people and systems needed for the engagement.
Every AI-assisted analysis has known limits.
- Models can misread text, miss context, and produce confident mistakes.
- Files can omit important people, events, or outcomes.
- A recurring pattern does not establish what caused it.
- The absence of information does not show that something did not happen.
- Source links make review possible; they do not make an analysis automatically correct.
The agreed retention rules apply when the work ends.
- The engagement defines what Field will retain and what Field will delete.
- The agreed retention period applies to working files, analysis, and final deliverables.
- Any legal or operational exception must be stated in the engagement terms.
